Terms & Conditions â€‹

By signing the participant's registration form, you agree that you have read, understood, and will abide by the club's rules, code of conduct, and commitment to the club. All participants must follow these guidelines, in addition to the relevant codes of conduct and policies.

1. Membership Policies

 

Children's Memberships:

  • Termly Payments: Children's memberships are paid on a termly basis and cannot be cancelled once payment is completed, regardless of whether the term has started or not. No refunds will be issued if a child withdraws before or during the term.

  • Annual Membership Fee: The annual membership fee is £60, which covers membership, insurance, and admin. This fee is compulsory and non-refundable. It must be renewed every year before September 30th, regardless of your start date. This amount will be added to your invoice when renewal is due.

  • Uniform: The club uniform is compulsory for all classes. The uniform cost of £30 will be added to your invoice once you subscribe to the club.

Adults' Memberships:

  • Monthly Payments: Adult memberships are subscription-based and renew automatically each month until canceled. To pause or cancel, written notice must be given at least 30 days in advance, no later than the first day of your next billing cycle. For example, if your billing cycle renews on the 17th of each month, you must give notice by the 17th of the previous month. Once a payment has been processed, no refunds will be issued.

  • No Show Fee: Please note that all cancellations must be made at least 24 hours in advance. Failure to do so, or in the case of a no-show, will result in a £20 cancellation fee.

  • Joining Fee: A one-time joining fee of £30 is required for all new adult members. This fee is non-refundable

  • Cancellation: Any cancellations must be notified at least 1 month in advance. This allows us to manage class schedules effectively and accommodate any necessary changes in a timely manner. Cancellation within the shortest subscription period of less than 3 months will incur a penalty fee of £30

 

2. Class Policies

  • Timeliness: Please ensure that your child arrives on time for class. If you arrange for someone else to pick up your child, inform the coach in advance. Children will not be released to anyone not listed on the registration form without prior notice.

  • Missed Classes: No make-up classes or exchanges will be provided for missed classes, regardless of the reason (e.g., personal absences, holidays, injuries, illness). This policy also applies to any of our camps.

  • Late Arrivals: Warm-ups are essential for safety. Any participant arriving more than 15 minutes late will not be allowed to join the session.

  • Participation: Participation during gymnastics sessions is compulsory for all members.

  • Viewing Times: Parents and friends will be invited to observe classes on allocated days, usually once per term. If you have any questions, please speak to a coach before or after your child's lesson.

3. Conduct and Safety

  • Behaviour: Bullying and inappropriate behaviour will not be tolerated. Participants behaving in a way that endangers themselves or others will be asked to sit out for the remainder of the session. Repeated violations may result in suspension from the club.

  • Supervision: Gymnasts must not use any equipment without direct supervision from a coach.

  • Dress Code: Club uniform is compulsory and expected to be worn for every class. Long hair must be tied back, and no jewellery is allowed during classes. Recently pierced earrings may be taped for up to six weeks but must be removed afterwards.

  • Safety and Health: Inform the coach at the start of a session if gymnasts are feeling ill, have a previous injury, or if any medical conditions have changed. Children should not attend class or camp if they are ill. If a child arrives ill, they will be sent home, and no compensation will be provided. In the event of illness, children must wait at least 48 hours after symptoms have cleared before returning to class or camp to prevent contamination.

  • Disclaimer for Adult Gymnastics Participants:  Participants acknowledge the inherent risk of personal injury during the course of instruction and, with full awareness of this risk, agree to assume all responsibility for any injury or damage they may sustain while participating in adult gymnastics classes.

  1. Hold Harmless Agreement: The participant agrees to not hold House of GPA, its coaches, employees, and other participants attending the classes and/or the gym, accountable from any losses, damages, injuries, causes of actions, claims, or complaints in the event of any injury or damage sustained during the participation, instruction, or performance of any exercise, whether in-person or online, or during any activity within the facility.

  2. Compliance and Safety: The participant further agrees to strictly adhere to coaches instructions and observe allsafety rules related to the classes, operation of gymnastics equipment, and the gymnastics room itself.

  3. Physical Condition and Medical History: Due to the physical demands of the training, the participant understands that they must be in good physical condition to participate in the classes, both in-person and online, and at the gymnastics facility. It is the participant's ongoing responsibility to inform the coaches at House of GPA of any previous or current medical conditions, injuries, or surgeries prior to attending classes or the gym. ​

4. Payment and Fees

  • Children's Membership Fees: Fees for children's classes must be paid in full before the start of each term. Late payments will incur an additional charge of £20. If fees remain unpaid after the final deadline, your child will be removed from the club.

  • Refunds: No refunds will be issued under any circumstances, including for missed classes, camps, injuries outside the gym, illness, or withdrawal from the club after your first session.

  • Term Commitment: When joining, please ensure you know the class schedule. You have committed to the same day and time for the full term that you have paid for.

  • Payments: Invoices are emailed out, and reminders are sent. However, failure to pay after the required date will result in forfeiture of your child’s membership at the club. Coaches do not accept cheques or cash for next term classes. Payments must be made through the provided online method.

  • Non-Payment: If your payment has not been received by the last day of term, you will have an extra week to pay, but an additional charge of £20 per child will incur. If payment is still not received, your child will be removed from the register. Please contact us if you anticipate any difficulties with meeting the payment deadline.

 

5. Gymnastics Camps

  • Camp Payment: Payment for gymnastics camps is non-refundable, regardless of whether the camp has started or not. This includes cases of personal absences, holidays, or illness.

  • Illness Policy: Children should not attend camp if they are ill. If a child arrives ill, they will be sent home, and no compensation will be provided. In the event of illness, children must wait at least 48 hours after their symptoms have cleared before returning to camp.

  • Missed Days: No refunds or make-up sessions will be offered for missed camp days due to personal reasons such as holidays, illness, or other commitments.

6. Private Classes

  • Bookings: Private Classes must be booked at least 24 hours in advance. 

  • Bundles:

    • 5-Class Bundle: Must be used within 5 weeks, with at least one class per week.

    • 10-Class Bundle: Must be used within 10 weeks, with at least one class per week.

    • Note: If unable to attend due to illness, proof is required to pause or extend the bundle.

7. Emergencies and Unforeseen Circumstances

  • Class and Camp Cancellations: Classes and camps may be cancelled due to extreme weather conditions, fire evacuations, or other unforeseen circumstances. No refunds will be provided in such cases.

  • Property: The club is not responsible for any property left on the premises, including mobile phones. If a gymnast wishes to bring their mobile phone into the gym for their session, that is fine, but we accept no responsibility for lost or stolen items.

8. Parent/Guardian Responsibilities

  • Collection of Children: Parents must collect their child directly from the building. Waiting in cars outside the premises is not permitted. If you have arranged for someone else to pick up your child, please inform the coach in advance. We will not allow children to leave with anyone not listed on the registration form without prior notice.

  • Behaviour: Rude behaviour or language from parents or carers towards staff or coaches will result in the expulsion of their child from the club.

  • No Food: No food is permitted on the premises.

9. Coach Availability

​We strive to provide consistency in coaching; however, we cannot guarantee that the same coach will be available for each session or class. In the event of unforeseen circumstances, such as a coach feeling unwell or experiencing an emergency, we may either:

  • Substitute the session with another qualified coach.

  • Cancel the class if a suitable replacement is not available.

In the case of a cancellation, we will notify participants as soon as possible and provide rescheduling options as applicable.

10. General Rules

  • Phones: Phones are not allowed to be used on-site during classes.

  • Refusal of Admission: The club reserves the right to refuse admission or to dismiss pupils for reasons including misbehaviour, wilful damage, breach of club rules, failure to respond to training, or rude behaviour towards staff.

  • Non-Refundable: Classes missed due to personal reasons, such as illness, injury, or holidays, will not be refunded or made up.

  • Class Commitment: Once you have agreed on your child’s class time, it remains fixed for the full term. No refunds will be provided for any missed sessions, injuries outside the gym, or withdrawals after the first session.
